POSITION SUMMARY Our Office Manager serves as a hospitality agent and communications professional for the entire church. As such, the Office Manager will answer phones, communicate by email, and greet in-house visitors with warmth and helpfulness. This person will also be primarily responsible for the communication that binds our congregation together and assists our staff in their ministry tasks. This is a part-time, salaried position. HOURS 9:00 AM - 3:00 PM Monday – Thursday (These times may be negotiable) CORE JOB RESPONSIBILITIES AND SKILLS Daily • Greet and assist visitors who frequent the church’s office. • Answer telephones, assisting callers or directing inquiries to the appropriate staff member. • Respond to emails, assisting people or directing inquiries to the appropriate staff member. • Manage reservations for special events (Wednesday night meals, retreats and special events), primarily by phone. • Distribute mail. • Maintain church membership/visitor database and mailing lists. Weekly • Produce the Sunday worship bulletins. This task includes gathering pertinent information from the pastor and Director of Music, typing, proofing and printing the bulletin. Occasionally, preparation of bulletin inserts will also be necessary. • Each Monday, produce and mail a welcome letter to new visitors. • Compile prayer cards, photocopy and share with pastor and Prayer Team. • Draft, prepare, print and mail the Messenger, our weekly newsletter. • Partner with our Grief Committee to send letters and grief booklets to members who have lost a loved one. Monthly/Occasionally • Update calling post (phone database) listings • Keep church website updated with time sensitive material. • Design and print promotional materials for bulletin boards and social media as needed. • Assist staff with other duties as requested. MINIMUM REQUIREMENTS • High School Graduate or equivalent. • Background check • Drug testing if/when required by church. SPIRITUAL AND LEADERSHIP TRAITS A person in this position must have a deep and abiding faith in Jesus Christ. They must also possess a “servant’s heart,” the gift of hospitality and a desire to work with others. KNOWLEDGE, SKILLS AND ABILITIES • Pleasant, welcoming personality with excellent telephone skills. • Basic knowledge to operate phone system. • Computer skills (proficient in Word and Excel) • Experience with databases and websites, or willingness to learn. • Comfort with social media sights including Facebook and Instagram. SUPERVISORY AND BUDGET RESPONSIBILITIES • The Office Manager reports to the senior pastor. • The Office Manager supervises the Office Assistant. • The Office Manager is responsible for overseeing and working within the office budget. PHYSICAL REQUIREMENTS This position involves a wide range of physical activity including walking, bending, sitting and standing for extended periods of time. Competitive salary, commensurate with experience.
