Office Manager & Executive Assistant to the COO

Responsibilities • Manage office building, grounds, & equipment, including contracts with multiple vendors and tending to systems and equipment maintenance on a routine basis. • Manage Passport’s limited online and extensive summer camp store, including ordering, content, data collection, and order fulfillment. • Manage a variety of annual office events and projects such as birthday lunches, outings, calendaring, project planning, printing educational resources, and database management. • Serve as a member of the Operations Team and as executive assistant to the Chief Operations Officer, helping to manage staff hiring, office personnel, contracts, project management, and day to day tasks. • Perform other tasks and lead other projects as assigned and as strengths and gifts are discovered moving forward. • Hours: full-time (8 hours/day, 40 hours/week) Requirements • Bachelor’s degree • Strong verbal & written communication skills • Positive attitude • Highly organized • Solutions-oriented, proactive problem solver • Focused worker • Team player • Stable presence • Computer literacy and the desire to learn • The nature of this position requires that the person is a Christian with an active faith and an understanding of faith-based ministry. • Applicants should understand and affirm Passport’s close ties and/or official partnerships with the United Methodist Church (UMC), Cooperative Baptist Fellowship (CBF), Presbyterian Church USA (PCUSA), African Methodist Episcopal Church (AME), and other Christian denominations. Preferences • Knowledge of Apple Products is preferred • Three years of experience in a related position is preferred • Experience with Database Management (Access, FileMaker, etc) is a plus • Experience with Website Maintenance (WordPress, CMS, etc) is a plus Benefits • Financial Package: Up to $40,000 annually after first 6 months of employment ($13-16/hour plus insurance and annuities). Annual salary increases for good work are almost guaranteed. • Health & Dental Insurance: 100% employer-paid insurance premiums after 3 months of employment. • Retirement and Annuity Benefits: 13% of wages paid 100% by employer after 6 months of employment. • Holidays: MLK Jr Day, Good Friday, Memorial Day, Independence Day, Labor Day, Thanksgiving Day and Friday, and the Christmas & New Year Days; the office is closed from Christmas Eve to New Year’s Day, as paid leave. • Vacation: Passport, Inc. offers new employees 10 days of paid vacation chosen by the employee in consultation with the supervisor. After 5 years, the employee receives 15 days of vacation; after 10 years, 20 days. • Holidays & Vacations: amount to 22+ days of paid leave during the first year. • Sick Leave: The employee shall receive up to one (1) sick day per month with pay. Sick days are cumulative up to 120 days. • Maternity/Paternity Leave: Female employees are given 6 weeks of maternity leave following the birth or adoption of a child; males, 4 weeks of paternity leave.
