The Practice Manager insures that the daily operations of the counseling center are smooth and efficient with client focus, oversees the business affairs of the center, serves as information resource and ambassador to clients, the public, staff and therapists and provides administrative assistance to the Executive Director. Accountability: The Practice Manager is directly accountable to the Executive Director and will have supervisory responsibility for designated support staff. Qualifications: This position requires strong skills in these areas: interpersonal, communication, analytical, problem solving, managerial, leadership, decision-making and attention to details. This person needs to be able to communicate effectively in written and oral formats. This position requires extensive use of the Microsoft Office Suite (Word and Excel), experience with Quick Books, experience with practice management software, familiarity with legal requirements of practice and credentialing therapists with insurance companies. Three to five years of experience is preferred. Bachelor’s degree required (with experience), Master’s degree is preferred. This person needs to be comfortable working on a team and demonstrate compassionate customer service. An understanding and appreciation of our ministry and a sense of purpose that translates into motivation is highly desirable. Job Responsibilities: 1. Supervision of designated support staff with input into recommended benefits and raises based on performance reviews. 2. Participation in the hiring process for all support staff. 3. Training and on-boarding of all support staff. 4. Oversight of the intake process insuring that procedures are followed and client needs receive prompt and professional consideration. 5. Credentialing of all therapists with insurance companies and completing re-attestation as needed. Adding therapists to our practice software and clearing house to allow electronic filing. Trouble shooting insurance claims. 6. Maintenance of all office equipment to include purchase of new equipment and software as needed within budget constraints and approval of the Executive Director. 7. Serve as the purchasing agent for the office keeping all supplies current. 8. Ensuring all governmental guidelines for business are followed. 9. Preforming internal audits to insure compliance with procedures and accuracy. 10. Compiling statistics of services. 11. First line response in handling any client complaint or conflict involving support staff. 12. Oversight of the maintenance and proper destruction of all clinical records. 13. Completion of yearly property assessment. 14. Manage and distribute keys to all employees. 15. Identify and recommend needed additions to the Policy and Procedures Manual. 16. Effectively manage many ongoing tasks at a time. 17. Secure any technical assistance needed for the office. 18. Oversight, knowledge and coordination related to all Vine data bases. 19. Coordination with support staff of clerical tasks needed by therapists. 20. Coordinate needed support activities during fundraising. 21. Provide Administrative Support to the Executive Director. Location: Employee will be located in an office at 333 Franklin Street, Huntsville, AL, 35801 with possible negotiated hours working from home during the current pandemic. Hours: The Practice Manager will work from 10:00 – 3:00 very week day, Monday through Friday, for a total of 25 hours per week. This will be considered a part-time position. Wages: The position is paid at a hourly competitive market rate negotiated at time of employment based on experience level. Benefits: The position will include the following benefits: 6 paid holidays: (to begin after 6 months of employment) Good Friday Memorial Day July 4th Labor Day Thanksgiving (2 days) 2 weeks off without pay around Christmas and New Year, exact dates to be determined. 2 weeks Paid time off in the first year after 6 months of employment. Additional sick leave negotiated as needed without pay.
